Frequently Asked

Backup & Disaster Recovery — Questions We Hear Most

Straight answers to the questions prospective clients ask before signing on. Don't see yours? Ask us directly — we'll put it in writing.

What exactly gets backed up?
Files, databases, applications, servers (image-level), and cloud data (Microsoft 365, Google Workspace). Scoped during onboarding — we map what's critical vs. reproducible and right-size the backup plan.
How often do backups run?
Typically every 15 minutes for critical databases and servers, hourly for workstations, continuous for cloud platforms. Retention varies by data type; compliance-regulated data usually 7+ years.
Where are backups stored?
Two locations minimum — local for fast restores, offsite cloud for disaster recovery. Offsite copies are immutable (can't be encrypted by ransomware) and encrypted in transit and at rest.
How often do you test restores?
Monthly for critical systems, quarterly for all others. Every test is documented with the restored file/VM and time-to-restore. A backup you haven't tested isn't a backup — it's a hope.
What are your typical RPO and RTO targets?
Standard: RPO (data loss tolerance) 15 minutes for critical systems, 1-4 hours for workstations. RTO (downtime tolerance) 4 hours for critical, 24 hours for non-critical. Custom targets available.
Do backups protect against ransomware?
Yes — that's the key design. Offsite immutable backups cannot be encrypted or deleted by attackers even if they gain admin access to your network. We've restored multiple clients from ransomware with zero ransom paid.
Do you back up Microsoft 365 (Exchange, SharePoint, OneDrive, Teams)?
Yes — native M365 retention is not a backup. We back up mail, contacts, calendar, SharePoint document libraries, OneDrive, and Teams chat separately with point-in-time restore.
What happens when we need to restore?
Open a priority ticket or call. File-level restores: minutes. Mailbox-item restores: under an hour. Full server or VM restore: hours to same-day depending on size. Every restore is logged and verified.
How long is data retained?
Default 1 year of daily backups, configurable by system. Compliance clients: 7 years (HIPAA, SOX) or longer. Legal hold capability available. Old backups age out automatically per policy.
Can you help with a disaster recovery plan, not just backups?
Yes — backup is one piece. Full DR planning covers alternate work locations, communication plans, vendor contacts, recovery runbooks, and business continuity decisions (what stays down vs. gets restored first).
